1. About Klared & Responsible Entity

Klared (“we”, “us”, “our”) is a data intelligence platform operated by:

We aggregate, structure, and enrich publicly available information about professionals, companies, research outputs, funding, and patents to help universities, research institutions, and organizations make better strategic decisions.

3. Acceptance of Terms

By accessing or using the Klared platform, you agree to be bound by these Terms & Conditions. If you do not agree, you must not use the platform. We may update these terms at any time; continued use after changes constitutes acceptance of the revised terms.

4. Platform Access

Access to the platform is granted through authorized accounts managed via our identity provider. You are responsible for maintaining the confidentiality of your credentials and for all activity under your account. Sharing credentials with unauthorized parties is prohibited. We reserve the right to revoke access at any time.

5. Data Sources & Categories of Data

Klared processes the following categories of data about professionals, organizations, and research outputs:

  • Professional profiles — name, job title, company, education history, career trajectory, professional network identifiers, and geographic location
  • Organizations — company name, sector, headquarters location, headcount, founding year, website, and domain
  • Research & publications — author names, affiliations, abstracts, citations, and subject areas
  • Funding & grants — program names, grant recipients, project descriptions, and budget information
  • Patents — applicants, inventors, technology areas, filing dates, and legal status

This data is sourced from publicly available sources, including professional networks, public company registries, patent offices (e.g. EPO), academic publication repositories (e.g. OpenAlex), governmental funding databases (e.g. Horizon Europe, BDNS), and institutional registries (e.g. ROR). We do not scrape private or access-restricted content. All information originates from sources where it was made publicly available by the individuals or organizations themselves, or published by governmental and institutional bodies.

6. Legal Basis for Processing (GDPR)

Personal data displayed on this platform is processed under the following legal bases:

6.1 Legitimate Interest — Art. 6(1)(f) GDPR

The primary legal basis for processing publicly available professional information is legitimate interest. Our legitimate interest is to provide a data intelligence service that helps institutions understand alumni career outcomes, research collaboration networks, and innovation ecosystems. We have conducted a balancing test and concluded that the processing does not override the fundamental rights and freedoms of data subjects, given:

  • The public nature of the source data and the professional context in which it is used
  • The limited scope of processing — we aggregate and display professional information, we do not make automated decisions affecting individuals
  • Data subjects can exercise their right to object at any time, which will halt processing of their data

6.2 Performance of a Contract — Art. 6(1)(b) GDPR

For registered users, we process account data (name, email, login metadata) as necessary for the performance of the service agreement.

6.3 No Automated Decision-Making

Klared does not employ automated decision-making or profiling that produces legal effects concerning individuals or similarly significantly affects them within the meaning of Art. 22 GDPR.

7. Rights of Data Subjects

Every data subject whose personal data is processed on this platform has the following rights under the GDPR:

  • Right of access (Art. 15) — request confirmation of whether your personal data is processed and obtain a copy
  • Right to rectification (Art. 16) — request correction of inaccurate or incomplete data
  • Right to erasure (Art. 17) — request deletion of your personal data
  • Right to restriction (Art. 18) — request restriction of processing in certain circumstances
  • Right to data portability (Art. 20) — receive your data in a structured, commonly used, machine-readable format
  • Right to object (Art. 21) — object to processing based on legitimate interest; upon objection, we will cease processing unless we demonstrate compelling legitimate grounds
  • Right to lodge a complaint (Art. 77) — with a supervisory authority, in particular in the EU Member State of your habitual residence, place of work, or place of the alleged infringement

8. Data Storage, Security & Retention

All data is stored and processed within European infrastructure. We implement appropriate technical and organizational measures in accordance with Art. 32 GDPR to protect personal data against unauthorized access, alteration, disclosure, or destruction.

Our compliance and information security management is supported by Kertos GmbH under an ISO 27001 Plus and GDPR Plus service agreement, which includes privacy workflow management, privacy documentation (RoPA, TOMs, DPIAs), breach management, and ongoing expert support.

Publicly sourced professional data is retained for as long as it remains relevant and publicly available, or until a data subject exercises their right to erasure or objection. User account data is retained for the duration of the service relationship and deleted upon account termination unless legal obligations require longer retention.

9. Sub-Processors & Data Transfers

We engage carefully selected sub-processors to operate the platform. All sub-processors are bound by data processing agreements in accordance with Art. 28 GDPR. Data processing occurs within the European Economic Area (EEA). Where transfers outside the EEA are necessary, we ensure adequate safeguards pursuant to Art. 44 et seq. GDPR, including EU Standard Contractual Clauses and adequacy decisions.

10. Restrictions on Use

You agree not to:

  • Copy, export, redistribute, or publicly disclose any data accessible through the platform
  • Use the platform or its data for unsolicited communications, spam, or mass outreach to individuals whose data appears on the platform
  • Attempt to reverse-engineer, scrape, or systematically extract data from the platform by automated means
  • Use the data to build or enrich competing products or services
  • Share access credentials with unauthorized third parties
  • Circumvent or attempt to circumvent any access controls or security measures

All data accessible through the platform is confidential and intended solely for use within the scope authorized by your agreement with Klared.

11. Intellectual Property

The platform — including its design, software, aggregated and enriched datasets, analytics models, and all related intellectual property — is owned by Klared Technologies, S.L. Nothing in these terms grants you ownership of, or any license to, our intellectual property beyond the right to access and use the platform as authorized.

12. Limitation of Liability

The platform is provided “as is” and “as available” without warranties of any kind, whether express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. Klared does not guarantee the accuracy, completeness, timeliness, or reliability of any data displayed on the platform.

To the maximum extent permitted by applicable law, Klared Technologies, S.L. shall not be liable for any indirect, incidental, consequential, special, or punitive damages arising from or in connection with your use of the platform, including but not limited to loss of revenue, data, or business opportunities.

13. Termination

We reserve the right to suspend or terminate your access at any time and for any reason, including breach of these terms. Upon termination, your right to use the platform ceases immediately and you must discontinue all use of the data accessed through it.

14. Governing Law & Jurisdiction

These terms are governed by the laws of Spain. Any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of A Coruña, Spain.
